    As just mentioned, Japan birthed the Kanban methodology in the 1940s. More specifically, though, credit for this workflow breakthrough goes to Taiichi Ohno, an industrial engineer at Toyota.

    Taiichi started with a simple system that grew into a lean manufacturing system meant to optimally control processes, monitor inventory levels, and manage work at each stage of the automotive production process. The system’s core principles, including visualizing workflows, limiting work in progress, and fostering continuous improvement, laid the foundation for its adaptation to the realm of knowledge work.

    On account of agile methodologies and the digitalization of project management tools, it was necessary for Kanban to undergo metamorphosis. And the eventuality was that it transcended its industrial roots. It has now become a ubiquitous fixture in software development, marketing campaigns, construction projects, and beyond. Truth be told, Kanban works across all types of business teams.

    Deciphering the Anatomy of Kanban Boards

    Ask any project manager, high-level manager, or director, “What makes the Kanban method work?” And they’ll all give you this answer: the Kanban board. Kanban boards are visual representations of workflow stages and tasks, organized into columns and cards. In all honesty, the simplicity of the board’s design fails to give a true impression of its profound impact.

    What the board does best is provide teams with a holistic view of their projects, from ideation to delivery. Each column on the Kanban board represents a stage in the workflow process. Cards, on the other hand, depict individual tasks that move through the column stages as the project progresses. This visual clarity fosters transparency, communication, and alignment. Ultimately, it enables teams to collaborate seamlessly and adapt swiftly to changing priorities.

    Harnessing the Power of Visual Management

    Visual communication is central to the Kanban board’s methodology for a reason. It is a powerful lever for improving efficiency, engagement, and more. Ideally, it is about using instinctive visual cues to communicate key information at a glance. Critical information can span everything from vision to progress to standards to warnings and more, with the visual cues also providing a fast mechanism for identifying potential problems.

    If you think about it, there’s definitely a speed element to visual management. The Kanban board confers the ability to convey critical insight with a brief look, meaning that individuals and teams can move ahead with their work faster. 

    In harnessing the power of visual management, the work actually happens because you’re putting the score up for everyone to see. It also makes the team more capable by promoting proactive visual thinking. In the long run, the workplace comes alive because the physical environment “speaks,” or rather, tells a story of the project’s progress.

    Choosing the Best Kanban Board for Your Team

    Given what we’ve discussed thus far, there’s no denying that implementing a Kanban board will set you on a course of efficiency, collaboration, and, ultimately, success. But that’s only if you choose the right one. With a myriad of options available, please consider the following before settling on one.

    1. Understand your team’s unique needs. Gaining clarity on the team’s needs and preferences leaves you better equipped to make the perfect choice.
    2. Explore different Kanban boards. Traditional and digital boards exist.
    3. Evaluate key features and functionalities. Of the different types of boards that exist, each has its pros and cons.
    4. Consider integration and compatibility with tools and platforms the team already uses.
    5. Seek user-friendly design and support. Ease of use and accessibility are paramount.
    6. Embrace experimentation and iteration. Onboard a board via a trial period, then solicit feedback from the team before settling on one.
